Waiting list
When a sub-event sells out, athletes can join a waitlist instead of being turned away. The toggle lives with sub-events; the roster appears in your sidebar only when someone's actually waiting.
Turn on the waitlist
Open Edit event, find the Sub-events card
The waitlist toggle lives in the Global sub-event settings strip at the top of the Sub-events card — not on a separate page.Flip 'Offer a waiting list when sub-events sell out' on
Persists immediately.Mark a sub-event sold out when ready
On any individual sub-event editor, toggle Sold out on. The public event page now shows Join waiting list instead of Register for that sub-event.
What athletes see
With the toggle on AND a sub-event marked sold out, the Register button on that sub-event becomes “Join waiting list.” Signed-in athletes can join with one click — name and email come from their profile. Guest athletes are prompted to enter both.
Without the toggle on, sold-out sub-events show a static “Sold out” badge with no signup path.
Managing the roster
The Waiting list entry only appears in your sidebar when someone is actually on a list. Empty events don't get the visual back — the moment the first athlete joins, the entry surfaces.
From the page:
- View every waitlisted athlete, grouped by sub-event, in first-in-line order (FIFO)
- Mark anyone as Notified when you reach out — the timestamp records when so you have a paper trail
- Remove someone (with confirm) if they dropped out
- Export the roster per-sub-event to CSV for offline workflow
