Publishing your event

A draft event is invisible to athletes. Publishing flips it live so anyone with the link can see it and sign up for it.

The go-live checklist

When you click Publish, Run This validates your event against a checklist before letting it go live. Anything missing shows up in a dialog with a "Fix →" link to the right editor card.

The blockers (Publish disabled until these are resolved):

  • A description on the event.
  • A start date in the future.
  • A street address with city and state.
  • A contact phone number Run This can reach.
  • For Run This-registration events: at least one sub-event.
  • For external-registration events: a URL athletes get sent to.

The warnings (Publish allowed; we just nudge you):

  • No header image uploaded.
  • No event icon uploaded.
  • No tagline set.

When you publish

  1. Click Publish

    The Publish dialog opens. Validation runs against your current state.

  2. Fix anything blocking

    Each blocker has a "Fix →" link that takes you to the right editor card. Address it, come back, click Publish again.

  3. Confirm

    Once nothing's blocking, the Publish button enables. Click it. Your event goes live; we stamp the publish timestamp.

After publishing

Your event page is now public. Anyone with the URL can view it. Athletes can bookmark it, share it, and register. Public events also appear in race discovery on the Run This homepage.

Need a code for flyers or race-day signs? Open the event's director dashboard and click QR code in the menu. You can copy the public link or download a PNG of the official Run This QR code.

Moving back to draft

You can move an event back to draft from the same Publish control. But: once anyone has registered for your event or signed up to volunteer, draft mode is blocked. Use the Cancel or Postpone controls instead, or flip the Private toggle to hide it from public discovery without taking it down.

Visibility: public, private, or hidden

Independent of publish state, every event has a visibility setting (Edit event → Other options → Visibility & discovery):

  • Public (default) — anyone can find it in search, the calendar, and on athletes' public profiles.
  • Private — hidden from search, the calendar, and public profiles. Only your registrants, people you've invited (given the link), your co-directors, platform admins, and members of an allowed club/community can open the event page. Use it for invitation-only events and club-only races.
  • Hidden — completely unlisted; behaves like Private and never appears on any public page, even to followers. Good for staging an invite-only event.

A private or hidden event never shows up on a runner's public profile (their Trophy Room, results, or upcoming races) for anyone who isn't a participant of that event — so racing a private event won't reveal it to the public.
