Postponing, cancelling & archiving
When plans change, the Lifecycle page puts a clear banner on your public event page — postponed or cancelled — and lets you reverse it later. Athletes committed to your event are alerted automatically.
Where it lives
Open your event's director dashboard and click Lifecycle in the sidebar. The card shows the event's current state and the actions available from it.
Postponing
Click Postpone (you'll confirm first). You can optionally set a new date and write a short note to athletes — "New date confirmed. Same start line." Athletes then see an amber banner across the top of your public event page: "This event has been postponed", plus the new date and your note if you set them. While the event is postponed you can update the date or note anytime with Update postpone info.
Cancelling
Cancel event switches the banner to a red "This event has been cancelled", with an optional cancellation note ("Refund instructions emailed"). The event page stays up so old links, bookmarks, and shared posts still work — they just land on the honest state of things.
Who gets told
When you postpone or cancel, Run This automatically alerts everyone committed to the event — registrants and athletes who marked "I'll be there" — with an in-app notification, a push notification, and an email. You don't need to send anything yourself, though a follow-up announcement with details never hurts.
Returning to live
Both states are reversible. Return to live removes the banner and clears the stored date and note, and the event page goes back to normal.
What this does not do
- It never refunds anyone. Cancelling changes the banner, not the money. Refunds are issued per registration from your Registrations page — see Refunds.
- It doesn't close registration by itself or remove existing registrations — your roster stays intact either way.
After race day, renew — don't archive
